Within the larger scope of formal and informal learning at Queens Public Library and within the Programs & Services Department’s Children, Youth & Family Services division, the Assistant Coordinator of Out-of-School Programs helps ensure the quality and delivery of the Library’s out-of-school programs throughout the year in various community libraries. The Assistant Coordinator will serve as a mentor/positive role model to other staff. The Assistant Coordinator of Out-of-School Programs will assist with the timely collection and accurate reporting of all program related data, including but not limited to human resources matters, student participation, program activities, schedules, site visits and reports to funders.

  • Assists with the design and development of new program initiatives and with the management of daily program operations, including staff communication and support.  
  • Assists with program monitoring.
  • Serves as primary liaison with hourly-rate staff regarding presenter workshops and supply requisitions.
  • Coordinates dates among Community Library staff, program staff and workshop presenters when needed. 
  • Under supervision, conducts site visits to monitor programs.
  • Collaborates with their supervisor to complete evaluations for all hourly-rate staff.
  • Communicates with parents and children to ensure the program meets the needs of participating families and the community. 
  • Communicates out-of-school programming related information with other departments (Finance, Marketing, ITD, Purchasing and Queens Library Foundation).
  • Creates and maintains databases of participant information, enrollment and evaluations.
  • Reviews monthly reports for completion and correctness, including the collection of monthly attendance and homework completion reports from program staff.  
  • Collects and organizes other relevant program data (programing evaluations, surveys, etc.).
  • Maintains communication with program staff on data collection timelines and reporting due dates.
  • Maintains hourly-rate staff files.
  • Schedules professional development sessions and other special events.
  • Maintains areas of group communication and staff informational and professional development calendars.
  • Assists with sourcing new staff and helps with onboarding when needed.
  • Creates and follows up on purchase orders and requisitions for programming.
  • Collaborates constructively with coworkers and communicates regularly with their supervisor and other staff.
  • Participates in training and staff development activities monthly.
  • Serves as a positive role model to other staff.
  • Provides coverage at program sites if needed.
  • Performs other duties as required.


  • Bachelor’s Degree and prior experience working with children required. 
  • Must have three years of demonstrated experience and interest in creating interactive and educational/artistic activities.
  • At least three years of experience coordinating events and doing outreach to vendors in the community.
  • Experience monitoring programs and facilitating the completion of staff evaluations preferred.
  • Proficiency with Microsoft Office including Word, PowerPoint, Excel and Access required.
  • A genuine enthusiasm for developing professional skills through training opportunities and field practice required. 
  • Interest and experience in youth development, academic enrichment and arts required.  
  • Ability to work as part of a team required. 
  • Ability to communicate effectively with a diverse population required.
