DUTIES AND RESPONSIBILITIES:
The Queens Public Library Foundation is a 501(c)(3) and 509(a)(1) and 170(b)(1)(A)(vi) non-profit organization whose mission is to raise funds for the programs, services, and materials for Queens Public Library.
The Senior Manager of Institutional Giving is a member of an Institutional Giving team responsible for researching, developing and writing proposals and planning strategies to attain the Library’s strategic fundraising objectives. The primary focus of the Senior Manager of Institutional Giving will be government funded capital grants, and their portfolio will also include corporate and foundation grants. Responsibilities include conducting needs assessments; attending bidders conferences and technical assistance workshops; overseeing data collection; inputting, analyzing and evaluating program activities for proposal submission; organizing and interpreting complex data; and writing clear and compelling proposals, reports and other communications. The ideal candidate must be able to work with minimal supervision.
- Works with key Library staff to help facilitate the development of public and private grant proposals for capital and programmatic projects by participating in conception, planning and preparation of full-fledged proposals (including evaluation plan and budgets through the Finance department).
- Works with internal stakeholders to determine proposal concepts and proposal applications by identifying and clarifying the Library’s programmatic and capital opportunities and needs; studies funding opportunities from Federal, State, City, Foundation and Corporate funders.
- Attends internal capital funding strategy meetings; assembles information including project nature, scope of work, timetable, budget, match funding, vendor quotations, and site control for capital projects; and assembles concept, logic models, neighborhood and programmatic data and budget to develop programmatic and service-oriented grant applications and reports.
- Researches program issues, national trends, and potential partners to help inform the team and process throughout program development.
- Conducts needs assessments, oversees data collection, inputs, analyzes and evaluates program activities for proposal submission. Establishes priorities, evaluates program effectiveness and tracks multiple projects and deadlines.
- Provides consultative services to the Program Directors and other library staff regarding submission of proposals. Analyzes and consults on appropriate use of funding.
- Assists the Director of Development in identifying new grant opportunities, developing initiatives and other funding mechanisms appropriate for the Library’s objectives. Identifies a wide array of policy and organizational issues related to the proposal.
- Completes a variety of editorial, proofreading, and writing projects, as assigned. Maintains a filing system to archive documentation of drafts, revisions and approvals.
- Develops a database of background materials for use in future grant applications. Develops a broad range of standard boilerplate descriptions of Library resources, programs and services for inclusion in proposal applications.
- Organizes and maintains grant applications. Maintains a calendar of grant and report deadlines. Responsible for file retention.
- Maintains quality results by using templates; following proposal-writing standards including readability, consistency and tone. Updates and maintains Raisers Edge database and other tracking tools.
- Meets all grant deadlines, including reporting, amendments, renewals, etc.
- Performs other duties as assigned.
- Bachelor’s Degree and a minimum of 5 years of grant writing, research, development and contract experience required (i.e., government grants, government contracts, sponsored research) experience.
- Demonstrated success and skill at researching, analyzing and evaluating information for the preparation of grant proposals. Strong knowledge of and experience with contract and grant policies and issues. Proven track record with writing and submitting full, multi-year grant applications.
- Experience with managing multi-year capital and programmatic grant portfolios, meeting required reporting and compliance requirements.
- Experience in data research, collection, management and analysis, using web tools, relational databases, statistical software and spreadsheets.
- Demonstrated experience using Raisers Edge or other development fundraising system. Proficient in all Microsoft Office programs.
- Strong organizational skills and ability to manage multiple projects with conflicting deadlines required. Must possess efficient time management skills. Demonstrated ability to work with minimal direction as well as in a team setting. Ability to meet short deadlines and thrive in a fast-paced, professionally rigorous environment.
- Superior written communication skills that expresses complex content in short but concise proposals. This includes experience in proofreading, editing for content, style, flow and tone.
- Demonstrated familiarity with government funding agencies, OMB Circulars, City, State and Federal Acquisition Regulations (i.e., U.S. Department of Education, New York State Education Department, National Science Foundation, HUD, U.S. Department of Health and Mental Hygiene, Dormitory Authority of the State of New York, Department of Youth and Community Development).
