Payroll Specialist

DUTIES AND RESPONSIBILITIES:

The Payroll Specialist will be responsible for activities related to payroll processing. Responsibilities include developing and maintaining a payroll procedural manual, researches payroll inquires and assisting with year-end tasks. Additional duties include providing prompt, courteous and efficient customer service to employees who have questions regarding their pay, deductions, or the payroll process. The Payroll Specialist prepares monthly payroll reports and reconciliations of benefits and other payroll related deductions.

  • Responsible for directing the daily operations of Payroll Services. Researches and responds to incoming payroll tax agency notices. Administers third party sick pay reporting.
  • Maintains the Payroll Department Procedure Manual. Researches payroll general ledger inquiries for all departments. Researches all payroll bank reconciliation issues.
  • Assists the Payroll Manager in developing and implementing more efficient processes. Supports the Payroll Manager with year-end tasks and assists the Payroll Manager in preparation and reconciliation of W2s. Coordinates the W2 printing and distribution.
  • Tests SAP delivered tax updates. Processes bi-weekly payroll postings and reconciles general ledger payroll accounts as needed. Processes quarterly tax filings and reports. Handles outstanding paychecks and unclaimed wages.
  • Trains, evaluates, motivates, and develops staff; instructs and/or trains other staff members on payroll procedures.
  • Encourages the continuous professional development of staff and conducts regularly scheduled performance management plans (PMP’s).
  • Performs other and related duties as required.

MINIMUM QUALIFICATIONS:

  • Associate’s Degree required. Minimum of 5 years Payroll experience required.
  • Knowledge of Payroll procedures, State and Federal laws and knowledge of US payroll practices and regulatory requirements required. Knowledge of applicable Federal, State and local wage and hour laws required.
  • Good verbal and written communication skills.
  • Must be organized and detail oriented. Extensive SAP system knowledge.
  • Ability to meet multiple simultaneous deadlines with ability to work well under pressure.
  • Good interpersonal skills. Strong analytical and technical skills.
  • Capable of applying Library policies, procedures and union contract pay rules.  Ability to work overtime and holidays as required.
