Facilities Manager

DUTIES AND RESPONSIBILITIES:

The Facilities Manager is a leadership position with a high degree of responsibility in the area of facilities and custodial management.  This position ensures that internal and external customer needs are met and work is in compliance with outlined specifications and standards. This position has the responsibility to ensure continuous, safe operation of the building and equipment.  Responsibilities include coordination of the process for all meeting set ups and special events taking place on site.

  • Responsible for the general management and oversight of a 237,000 square foot facility.
  • Plans, organizes, coordinates, and manages the custodial operation and ensures the proper care, cleaning and maintenance of the building and grounds.  Inspects facilities.
  • Coordinates and prioritizes work projects.
  • Assigns, reviews, and evaluates the work of assigned operations personnel involved in custodial, maintenance and grounds work assignments. Supports renovations and upgrades in collaboration with internal departments and outside agencies.
  • Collaborates with the Logistics and Security, Health and Safety and other departments to address any and all safety and security concerns.
  • Conducts regular building surveys and makes recommendations on repairs and improvements. Inspects and maintains cleanliness and safety of building and surrounding grounds.
  • Maintains inventory and order system for custodial and building supplies. Assists in recording, managing and reporting all facilities and maintenance concerns/issues in the building.
  • Utilizes Remedy Building Maintenance work-order system to address building requests on a daily basis, determines priorities and schedules work.  Ensures a system is in place to execute and track work orders and provide status to stakeholders.
  • Manages both contractor and in-house corrective and preventive maintenance activities on mechanical, electrical, plumbing, HVAC and any other building related concerns required for operations. Monitors performance of systems including HVAC, mechanical, plumbing, electrical, etc.
  • Ensures a 24/7 emergency management protocol is in place to respond to and take corrective action on any building emergencies that may arise during business and off-hours. 
  • Ensures snow removal procedures are in place to promptly clear the loading dock area, entrances and pedestrian walkways.
  • Ensures process and coverage is in place to support and back up Community Library maintenance operations.
  • Meets with departmental designees to ensure completion and satisfaction with the reservation process. Addresses any concerns regarding room set-ups, additional customer needs, or last-minute reservations.
  • Manages Central Maintenance and Custodial staff at all levels.  Interviews, hires, trains, guides, assigns, schedules, motivates, and evaluates staff and services.  Utilizes performance management and submits timely performance reviews.
  • Interprets and applies policy and procedures.
  • Assists in preparation of service and requirements contracts for maintenance services. 
  • Works along with the Contracts Manager in developing service and requirements contracts for maintenance and custodial services. Works collaboratively on all aspects of contracts including specifications, bids and advises for re-bid 6 months prior to expiration. 
  • Coordinates contract maintenance and service schedules, reviews and evaluates contractors and ensures performance and all standards are being met.  Maintains service files, permits and other information. 
  • Prepares reports by collecting, analyzing, and summarizing data and trends.  Will make recommendations for new vendors, contracts, repairs and improvements to the process or buildings to the Vice President of Capital and Facilities Management.
  • Assists in preparation of service and requirements contracts for maintenance and custodial services. 
  • Works with the Contracts Manager to prepare contracts including specifications, bids and advises for re-bid 6 months prior to expiration. 
  • Coordinates contract maintenance and service schedules, reviews and evaluates contractors and ensures performance and all standards are being met.  Maintains service files, permits and other information. 
  • Prepares reports by collecting, analyzing, and summarizing data and trends. 
  • Performs other duties as assigned.

Schedule will include evenings, overnights and weekends.

QUALIFICATIONS:

  • High School Diploma required. Bachelor’s degree preferred.
  • Minimum of 5 years of building management experience required.
  • Working knowledge of HVAC, electrical, mechanical, and plumbing systems preferred. 
  • Demonstrated supervisory and managerial aptitude required.
  • Strong written and verbal communications skills.
  • Ability to apply time management principles to complete projects with competing deadlines. Ability to make decisions independently.
  • Ability to interpret and prepare reports. 
  • Familiarity with word processing and spreadsheet software.
  • Must have experience with computerized Maintenance Management System and Building Management System.
